RASA consists of four sections, each one related to the other. This allows the system to match sales to the assets and products in your catalog, and those matched sales in turn will create statements.
Organizations
The organization is the overarching payee with which you have a contractual agreement and send pay-out statements to. Often, organizations are artists or labels, depending on whom you have agreements with. These organizations have one or more Contracts, which reflect the deal terms.
Catalog
The Contracts related to the Organizations can be found under the Catalog section. Within this section you will also find Models and standardized contract deal terms that can be used and easily applied as default on your contracts.
In this section you will also find all of your Products and Assets relating to the releases you manage.
The products have assets attached to them, and these assets are individually linked to a contract. This contract is connected to the overarching organization.
Reports
Within the Report Run section, you can upload all of your royalty sales reports provided by DSPs, which you can then group by the accounting period you use for your payees (e.g., monthly, quarterly, yearly). You will match the sales to the existing assets in your catalog by processing these reports and subsequently linking them to the proper contract and organization.
Statement Runs
The last step is to create Statement Runs, which develop statements for each of your payees. You can make the statement run based on the accounting period by selecting the report run(s) you will be using for this period.
The RASA system will automatically create statements representing the matched sales from the reporting runs per contract or organization. You can automatically adjust the information and formatting of the statement file(s) to your preferences and email in bulk from the system.
Settings, exports, actions
RASA also offers a few other features within the menu bar to help you manage your RASA account.
The Settings section allows you to manage the setup for your account. During the onboarding phase, your onboarding manager will advise which settings might be applicable for your account since these can vary depending on your company's needs.
RASA allows you to import (Actions) and export (Export) information across the platform.
In the Actions menu, you can manage the Organization and Catalog sections via imports, which are broken up into two categories:
- Imports: they allow you to bulk import information for Organizations, Contracts, Products, and Assets via standardized importers.
- Custom Imports: they allow you to import information for Organizations, Contracts, Products, and Assets via customizable importers.
You can use the exports section to export certain (summarized) data from your RASA account. These exports can be based on:
- Account & Catalog.
- Report Group.
- Sales & Royalties.
