In the Catalog menu on the left, you can manage the Products and Assets in your catalog. To match incoming sales to your releases, you have to ingest all of your catalog into the RASA system. There are two methods of doing this: via an automated sync with the FUGA platform or through a manual bulk importer.
FUGA integration
The RASA system integrates with FUGA Next and syncs your distributed catalog from FUGA to RASA automatically. This catalog feature can help you retrieve and import the metadata information of your products and assets, as well as the delivery information used to match the catalog with incoming sales.
FUGA’s Support Team will perform the syncing of your catalog. With your onboarding manager, you can decide when and how frequently your catalog is synced. By default, this will be carried out at the beginning of every week.
Catalog bulk importer
When you have products and assets in your catalog that are not distributed through FUGA, they can be imported into the RASA system via bulk metadata importers.
In the Actions menu in RASA you can find multiple options. To manually add the catalog to the system, you will have to use "Create and update assets", "Create and update products" and "Assign products to assets by reference", in that order:
Create and update products
In the Action menu, go to "Create and update products". This importer will create products in the RASA system and work the same way as the asset importer.
Click on "Download template .csv" and open this .csv file in a spreadsheet editor of your choice and fill in the metadata for the products.
Please make sure that you fill in at least these fields:
- product_reference (it should be a unique code)
- barcode
- title
- artist
- label_name
- accounting_group_name if applicable to your account
Save the file as a .csv before ingesting it back into RASA.
Upload the file on the same page you have downloaded the template from and click on "Analyze File". The system will automatically check any errors in the uploaded ingestion sheet. If something is wrong, it will indicate which lines are incorrect.
Correct the sheet and import the corrected ingestion file.
Linking Catalog to Organizations
Every contract in RASA must be associated with an organization, and each asset must be associated with a contract. This is how the RASA system is able to account for the sales associated with assets, to the payee that should receive the royalties.
Here is how RASA links your catalog to your organization:
Asset > Contract > Organization
(Organization attached to: Contract attached to: Asset)
Note: assets can have multiple contracts attached.
Contracts can be assigned to assets either manually or in bulk using importers at the Action section.
